Your information

Privacy & cookies.

A plain-English explanation of enquiries, website chat and the security tools used on this website.

Contact the academy

Paul Campbell’s Karate Academy Limited is responsible for the personal information used through this academy website. For questions or requests about your information, contact Paul at paulcampbell12@hotmail.com or write to PC Karate Academy, 14 Canal Street, Brierley Hill, DY5 1JJ, United Kingdom.

The Student Portal is a separate booking application. Its account, membership, payment and student-record arrangements are explained in the booking app’s privacy policy.

When you make an enquiry

The form asks for the student’s name and age, a message and at least one contact method: email or phone. You can also provide a parent or guardian name and a preferred group. For a child’s enquiry, a parent or guardian should complete the form using their own contact details.

Submitting sends these details to the academy’s booking-app enquiry system so its authorised team can respond and help find a class. It does not create a student account or sign you up for marketing. Please avoid medical, financial or other sensitive information.

The website does not save the form in local storage or its own visitor database. Unsent details remain in the current form while it is open. Security tools process technical information as explained below.

Enquiries stay in the academy’s enquiry system while they are being handled. Once marked joined or closed, they are scheduled for automatic deletion after 30 days. This period starts when the status changes, rather than when you send the enquiry. If an enquiry is reopened, that deletion countdown stops while it is active.

If you join, information needed for your family account is handled under the booking app’s privacy policy. The enquiry deletion schedule does not automatically delete separate emails or student records. Contact Paul if you want the academy to review or delete those records.

When you chat with Paul

Website chat uses your name, email and messages so the academy can reply in its private Website Messages inbox. Email is not verified and cannot recover a conversation. This is separate from student messaging.

An essential, secure cookie keeps access on the same browser. Access expires 30 days after the first message; the cookie can expire earlier. Clearing cookies, changing browser or using another device can lose access. Closing the bubble does not end the conversation.

End chat revokes browser access, not the academy’s copy. Chat history is scheduled for deletion 90 days after the last actual message. Reading or closing the chat does not extend that period. Separate technical logs and backups are explained below.

Contact Paul about deletion or other information requests. Chat is not an emergency service; replies are sent when available.

Cookies, browser storage & security

This website does not currently implement live-visitor/location monitoring, advertising tracking or optional visitor analytics. There is no analytics accept/decline banner in this version.

Website chat: __Host-academy_website_chat
An opaque conversation credential, set when you explicitly start chat. Secure, HttpOnly and restricted to this website, with a browser lifetime of at most 30 days. Access can end sooner. It does not contain messages or contact details.
Private photo previews: academy_preview
Set only when an authorised academy administrator launches a private preview. Secure, HttpOnly and restricted to the private-preview path, it expires no later than the fixed ten-minute session. It does not give ordinary visitors access to hidden photographs.

You can remove cookies in your browser settings. Blocking these cookies may prevent chat reopening or private preview access. No marketing or analytics preference is stored by this website.

Cloudflare Turnstile checks enquiry and chat submissions for automated abuse. It processes technical signals, including IP address and browser information. See the Turnstile Privacy Addendum for its security processing and storage. This notice does not claim providers never use cookies or technical logs.

Security checks can block a suspected automated submission. If you cannot send a form or chat message, you can contact Paul by email instead.

Who handles the information

The academy’s authorised team can access enquiries and website messages. Vercel hosts the website and booking app; Supabase provides the booking app’s database and photo storage; Cloudflare Turnstile provides submission security checks. These services process information needed to provide their part of the service.

Hosting and security services process technical request information, such as IP addresses and browser details, to deliver pages, investigate errors and prevent abuse. Technical logs and backups have provider-specific retention periods, separate from the enquiry and chat schedules. Deleting a live record does not necessarily remove an existing backup copy immediately. Contact Paul for information about a particular record or provider’s retention arrangements.

These providers operate internationally and may process information outside the United Kingdom. Their data-processing terms describe their international processing and available transfer safeguards. Contact the academy for details of the arrangements applicable to your information; see also Vercel’s privacy information, Supabase’s privacy information and the Turnstile information linked above.

Photographs & external links

The public album shows photographs published through the academy’s admin system. Contact Paul about photo permissions or removal. Hidden photographs are not included in the public feed.

Facebook, Instagram and the Student Portal open separate services with their own privacy arrangements. Social feeds and maps are not embedded in this website.

Why the information is used

The academy uses enquiry and chat information to respond to your request and help you find a class. This supports its legitimate interests in answering questions and communicating with prospective students and families. Where you ask the academy to arrange club services, relevant information may also be needed to take steps towards that agreement.

Technical security processing supports the legitimate interests of the academy and its providers in preventing spam, misuse and unauthorised access, and keeping the service reliable. The website does not use your enquiry or chat details to subscribe you to marketing.

You choose whether to contact the academy. A contact method and the required form details are needed to handle an online enquiry or start chat. You can use email instead. A form acknowledgement does not give permission for unrelated tracking, marketing or photo publication. If the academy relies on your consent for an optional use, you can withdraw that consent by contacting Paul.

Your choices & rights

You can ask the academy about access, correction or deletion of your information. Depending on the processing and lawful basis, rights to restrict or object to processing, portability and withdrawal of consent may also apply. Identity checks may be needed for some requests.

You may complain to the Information Commissioner’s Office (ICO). You do not have to contact the academy first.

Your right to object: you can object to the use of your information based on legitimate interests by contacting Paul and explaining your situation. The academy will consider your request and explain its response.

This notice will be updated when the website’s use of personal information changes.
